SMS Lead Follow-Up for Clinics & Med Spas

Keep a new enquiry moving without making your team chase every message.

Tell us your goals. Scope and next steps agreed before work begins.

A form submission needs a conversation

A prospective client submits an enquiry while your team is busy. Without a clear reply, they may wonder whether anyone received it. SMS follow-up can acknowledge the request and make the next step easy, provided the messaging permissions and delivery requirements are in place.

For a med spa consultation, the useful first message is usually simple: identify the business, acknowledge the enquiry and explain how to arrange the next step. It should not overload the person with a full sales pitch or ask them to send sensitive treatment information by ordinary text.

Build around the lead’s current status

An effective workflow knows when to stop. Someone who has booked should not keep receiving invitations to book. Someone asking a question needs an answer or a handover, not the next scheduled reminder.

  • Acknowledgement after an eligible enquiry arrives.
  • A relevant next step, such as a supported booking link or callback option.
  • A limited follow-up sequence if the person has not responded.
  • Reply routing to the person responsible for the conversation.
  • Stop conditions for bookings, opt-outs, staff takeover and invalid numbers.

The message sequence, timing and number of attempts are agreed for your business. We do not treat every contact in a database as permission to send promotional texts.

A practical med spa example

A new consultation enquiry enters the CRM. An appropriate acknowledgement is sent through the configured messaging provider. If the prospect replies with a question, staff receive a task and the automated sequence pauses. If they book, their status changes and the prospecting sequence ends.

Appointment reminders are a different workflow. They should use confirmed booking details and should not compete with a lead follow-up sequence.

What needs to connect

We review the enquiry source, contact fields, messaging provider and destination for replies. Number format, duplicate records, time zones and business hours matter. A workflow that sends twice because a form was retried creates a poor first impression.

Before launch, test a new lead, a duplicate, a reply, an opt-out and a booking. Also test what happens when the messaging provider cannot deliver.

Measure useful responses

Track delivery failures, replies, handovers and bookings. Review messages that produce confusion or repeated opt-outs. More texts do not automatically create more appointments; the sequence should make responding easier.

Can we use our existing phone number?

That depends on the number and provider. Messaging capability and any required sender setup are checked before launch.

Does every CRM work?

No. We confirm supported integrations or a practical alternative before quoting. Messaging usage and third-party subscriptions are identified separately in the agreed scope.
